To put it simply, RPA can grant more accessibility to the digital environment of a company, be it manufacturing, outsourcing, consultancy or any other industry. WinActor software automates repetitive, monotonous sequences, where the tasks within a sequence can be set up and customized according to operational business needs.

We wouldn’t need RPA software in an ideal environment, where an ERP uses a shared database with individual access to all apps and is thus able to articulate automated tasks and reports based on app-gathered data. But that is not always the case:

The ERP is not always integrated with the CRM, some customer data can be found in the CRM, some sits in a distant Excel sheet. The purchase order comes via email or, best case scenario, through an EDI platform that is imposed by the customer, most of the times. This translates into faulty integration with the ERP and probably an absence of transaction history. The financial information shows up in the ERP, but the accounting/controlling paperwork has to be extracted and completed separately and independently for each customer. This partial integration which determines a lack of transparency implies additional manual efforts. The same action, in the same environment, could look completely different:

A customer order is received. The WinActor® bot picks up the order from the EDI platform and:

  1. checks the customer’s trustworthiness, based on past transactions
  2. imports customer data from the CRM (creates a customer account if the data is missing)
  3. formulates a personalized email reply
  4. sends it to a Sales supervisor for approval
  5. monitors the inventory, the availability and capacity of production lines and workforce
  6. decides if the order is deliverable by the requested term, based on preset algorithms;
  7. sends the decision for approval;
  8. sends the needed data to all the production/line managers and generates documents for workers, loaders, drivers, etc., based on an extract from the EDI
  9. sends the order confirmation / new delivery term proposal to the customer
  10. starts the sequence again

The workflow described above is a feasible reality today. For a best efficiency scenario, everything that CAN be automated, MUST be automated.
